Best Practices
To maximize engagement:
- Plan at least 4–6 weeks in advance
- Include clear calls to action (RSVP, register, attend)
- Use Pierpont’s approved branding and tone
- Tag official accounts and use relevant hashtags
- Capture photos, videos, and quotes from the event for future promotion and storytelling
Event Calendar
Want your event featured on Pierpont’s website or internal calendar? You can submit your event through on the Calendar yourself, but be sure to request any graphics or promotional materials in advance. Submitting early allows the Marketing team to create branded visuals and ensure your event is promoted across the appropriate platforms in a timely and consistent way.
After the Event
We can help you:
- Share photos and highlights
- Post thank-you messages
- Create recap content for newsletters or social media
Frequently Asked Questions
How do I request help promoting an event?
Start by submitting a Marketing Request Form. Include your event name, date, location, target audience, and any promotional goals. The earlier you submit, the more support we can provide.
How far in advance should I submit my event for promotion?
We recommend submitting your request at least 4–6 weeks in advance. This allows time for graphic design, messaging development, scheduling across platforms, and coordination with other campus communications.
Can I request graphics for my event?
Yes! If you want flyers, social media graphics, or signage, be sure to request those specifically in your marketing request. Graphic design requires additional lead time, so include this in your initial submission.
Will my event be added to the website or internal calendar?
Yes, if you include that request in your marketing request. We’ll ensure your event is listed on the appropriate calendar(s), but calendar inclusion does not automatically trigger full promotion — you must request graphics and outreach separately.
Can I promote my event on social media?
Absolutely. We can help you create branded social media posts or include your event in Pierpont’s official channels. Be sure to request this in your form and provide any relevant images, hashtags, or links.
Can I design my own flyer or promotional materials?
Yes, but all materials must follow Pierpont’s brand guidelines and be approved by the Office of Marketing and Communications before distribution. We can provide templates to help you stay on-brand.
Can I get photography or video coverage for my event?
Yes, depending on availability. Include this request in your form and submit it early. We prioritize events that support strategic goals like recruitment, student success, and community engagement.
What if my event changes after I submit the request?
Notify the Marketing team immediately. We’ll update materials and messaging as needed, but late changes may affect the scope or timing of the promotion.
Can I promote an event that’s open to the public?
Yes! We can help you reach external audiences through press releases, community calendars, and social media. Be sure to include your outreach goals in the request.
